KluGuard (“KluGuard,” “we,” “us,” “our”) respects your privacy. This policy explains what personal information we collect through kluguard.com and in the course of providing our services, how we use and protect it, and how you can contact us about it. This policy is governed by Alberta’s Personal Information Protection Act (PIPA). Where we serve clients outside Alberta or store data outside Canada, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply
Information We Collect
Through our website intake and scan-request forms, we collect:
- Business name and location
- Your name, role, email address, and phone number (if provided)
- Your business website or Google Business Profile link
- A brief description of the situation you’re contacting us about
In the course of an active engagement, we may also collect, from you directly:
- Copies of your business’s written policies (entry, refund, complaint-handling, etc.)
- Facts you provide about a specific incident (date, time, staff roles, what happened)
- Screenshots of public reviews
We do not request or accept, through this website or by ordinary email: CCTV footage, ID scans, medical information, employee personnel files, or other sensitive personal information. If a matter genuinely requires review of that kind of material, we will provide a separate, secure method, and only with your written agreement.
How We Use This Information
We use the information you provide only to:
- Respond to your inquiry
- Assess and prioritize public review risk
- Deliver the specific services you’ve engaged us for (monitoring, risk scoring, response drafting, platform-reporting guidance)
- Communicate with you about your account and our services
We do not sell or rent your information. We do not share it with third parties for their own marketing purposes.
Third-Party Service Providers
We use third-party services to operate KluGuard, including email delivery, hosting, and analytics providers. These providers process information only as needed to provide their service to us and are not authorized to use it for their own purposes. Some of these providers may store data outside Canada (for example, on US-based servers); where that’s the case, your information may be accessible to that provider’s home jurisdiction’s legal processes.
Retention and Destruction
We retain client information for as long as needed to provide our services and to meet our own legal, accounting, or record-keeping obligations, after which it is securely deleted. Evidence and case files from a specific engagement are retained according to the retention period set out in your service agreement, and deleted or returned at the end of that period unless you request otherwise in writing.
Safeguards
Information is stored in access-restricted systems limited to KluGuard personnel directly involved in your engagement. Each client’s files and evidence are kept separate from other clients’ files.
Your Rights
You may ask, at any time, what personal information we hold about you, request a correction, or ask us to delete information we’re not otherwise required to retain. To make a request, contact our privacy officer below.
Breach Notification
If a breach of your personal information occurs that poses a real risk of significant harm, we will notify you and the Office of the Information and Privacy Commissioner of Alberta, as required under PIPA.
Cookies and Analytics
This website uses Google Analytics to understand how visitors use the site. Analytics data is aggregated and does not identify you personally in our reporting.
Children’s Privacy
KluGuard’s services are directed at businesses, not individuals, and this site is not intended for use by children.

We may update this policy from time to time. The “last updated” date at the top will reflect the most recent revision.
